The head of Corporate Services will be responsible for the smooth and efficient running of the International Headquarters of Northern Trust of nearly 200,000sqft, housing nearly 2000 people at our offices in Canary Wharf.

The position will report to the head of Corporate Services International and will lead a team of in-house and outsourced partners to deliver a best in class service. Primarily the group will be responsible for provision of facility and property services, which includes catering, security, cleaning, mailroom, health and safety, insurance archiving move and space planning.

Responsibilities

Management:

•        Overall management responsibility for planning and delivery of all corporate services functions in London

•        Management of staff, including setting objectives, monitoring, staff development, and overall resourcing

•        Planning Corporate Services delivery including all resources, financial planning

•        Setting and agreeing with International head overall direction for the London CSG group

•        Liaison with business unit heads on all planning and delivery matters

•        Setting of service levels, managing business expectations, achieving and exceeding service levels

Financial:

•        Setting annual operational and capex budgets in agreement with business and International Corporate Servvices Group (CSG) head; monitoring expenditure against budgets

•        Analysing monthly information from finance and managing services to ensure expenditure is within budget

•        Negotiating contracts with Corporate Services suppliers to ensure achievement of budget

•        Raising purchase orders, and signing off invoices against purchase orders, ensuring compliance with purchasing and T&E policy

Projects:

•        Overall responsibility for delivery on time, to budget and to quality

•        Defining projects

•        Appointing teams as necessary

•        Setting financial time and quality parameters for the project

•        Be the single point of liaison with the business units

•        Managing and monitoring delivery

•        Regular reporting

•        Close out procedures

Space:

•        Planning and manage ongoing space requirements of the business

•        Organise office for maximum space efficiency

•        Liase with business units for ongoing space requirements

•        Produce reports as necessary on space allocation

•        Utilise central resource for space planning expertise to help in delivery of service[1]

Facilities services

Manage delivery of all facilities services for the building including but not limited to:

1.       Cleaning

1.       Catering

2.       Physical and electronic security

3.       Reception

4.       Switchboard

5.       Health and safety

6.       Corporate apartments

7.       Moves and changes

8.       Minor building works

9.       Maintenance of tenant items and company leasehold improvements, furniture and fixtures and fittings

10.    Insurance policies for UK entity, including but not limited to buildings and contents, EL and PL policy, terrorism cover.  Global policies to be dealt with by others.[2]

11.    Off site storage

12.    Taxi and transport

13.    Business continuity

14.    Post and mail room services

•        Ensure delivery of all services to desired quality and budget either through provision of in house support or external vendors

•        Monitor performance of external facilities vendors

•        Ensure Company liabilities covered in respect of all services provided and vendors used

•        Building Management

•        Administer tenancy in accordance with terms of lease agreements

•        Liase with landlord

•        Ensure statutory compliance for occupation of buildings

•        Ensure insurance requirements are met for occupation of properties

General:

•        Produce reports to International CSG head on financial and quality of performance for all CSG services as required on all areas of responsibility.

•        Principle point of contact with finance on all CSG financial matters

Capabilities:

•        Ability to manage teams

•        Ability to delegate and manage multiple projects

•        Ability to resolve problems

•        PC skills, particularly email, excel, word and PowerPoint.

Skills / Experience

•        The ideal candidate should be degree qualified with qualifications in the property and or facilities arena

•        The candidate should be able to demonstrate a track record of leading succesful facilities teams in large organisations

•        The candidate should be able to demonstrate good leadership skills in working with direct reports and building long term beneficial relationships with vendors.

•        The candidate should be able to demonstrate excellent change management skills to deal with the ever changing business environment and a drive for continuous improvement

•        The candidate should be able to demonstrate a thorough understanding of managing a P&L and delivering accurate budgeting, forecasting and management reports.
